3. Deposit with AILLA

How to Deposit Materials in AILLA

AILLA accepts donated deposits of born-digital and/or digitized materials only. At this time, we cannot accept analog materials that need to be digitized.

There is currently a waitlist to deposit materials with AILLA. Please follow these steps if you wish to make a deposit:

Step 1: Please email AILLA (ailla@ailla.utexas.edu) with the following information to get on the waitlist:

  1. Your name and contact information;
  2. The language(s) and ISO 639-3 code(s);
  3. The media type and file formats for each media type (e.g., audio in .wav, video in .mp4, etc.); if you know the number of each file type, please include that information;
  4. The total size (in GB) of your deposit (please give an estimate if you have not yet done data collection); and
  5. Your timeline and deadline for depositing.

AILLA staff will let you know if we can meet your deadline for depositing or not. If you wish to proceed with your deposit, follow steps 2-5.

Step 2: Download the AILLA3 Metadata Workbook (XLSX) and fill it out for your materials. 

  • Note that you are required to arrange your files into folders and sets as you organize the metadata.
  • Contact AILLA if you need this file in CSV format.
  • Research participants' informed consent for archiving should NOT be included in the AILLA3 Metadata Workbook. However, please prepare these media files for transfer to ailla along with the rest of your deposit. 

Step 3: Review the allowed file formats listed in the PDF Allowed File Formats & Size Limits (PDF).

  • Convert your files if necessary.

Step 4: Review the size limits for files, folders, and sets in the PDF Allowed File Formats & Size Limits (PDF).

  • Split, compress, or reformat files as necessary.
  • Reorganize sets and folders as necessary.

Step 5: Complete and sign the AILLA Depositor License Agreement.

Step 6: Wait for AILLA to contact you with additional instructions when your turn approaches.
